Position: Director of Administration and Compliance
Schedule: Monday-Friday- 9:00AM-4:00PM

Job Functions
Human Resources
- Responsible for job postings, soliciting and conducting interviews with candidates, and onboarding hired candidates.
- Manage employee files that include sensitive information requiring confidentiality.
- Track employee time off internally.
- Answer employee questions related to time off and related policies.
- Process donation receipts for vendors or individuals requesting them, as well as thank you letters to all donors.
- Coordinate necessary employee trainings when required (e.g. CPR).
- Write reports for employee incidents/accidents.
- Coordinate office schedule changes/holidays with all staff.
- Have a deep understanding of the employee handbook, and periodically review policies to ensure they are up to date with NYS law.
- Manage employee benefit distribution and meet annually with benefit administrators to discuss benefit renewals.
Communications
- Coordinate pickups with potential donors and staff members.
- Communicate with vendors and contract partners via email, phone, or occasional in-person meetings.
- Contribute to Saving Grace’s quarterly newsletter sent out to the donor base and local partners.
- Content writing, editing, and formatting
- Send communications to Elim Fellowship Buffalo regarding upcoming events.
Finance/Accounting
- Organize donation checks in an appropriate manner before handing them over to accounting to be processed.
- Manage a weekly petty cash fund for program staff.
- Contribute to both corporate and programmatic budgets.
- Develop a basic knowledge of the SGM accounting system.
- Order office supplies when necessary.
- Handle confidential information related to both company and employee finances.
- Assist in annual audit preparation when necessary.
- Demonstrate proficiency with the corporate payroll processing system
Contract Compliance
- Manage local and state funding contracts, including but not limited to:
- Quarterly and annual data reporting
- Monthly/quarterly financial billing for reimbursement
- Annual financial reports
- Be the onsite representative for annual inspections by local or state contractors.
- Coordinate inspection preparation/corrective action with maintenance.
- Act as a point of contact for all contractors and manage contractor relationships.
- Provide programmatic oversight/guidance to the staff implementing each contract.
Grant Funding
- Contribute to new grant/RFP applications
- Writing
- Editing
- Gathering Documentation
- Manage any post-award reporting required by a grant
Salary Range: $48,000-$52,000 per year.
